Terms & Conditions

By placing an order with Property Studios, the instructing agent or company confirms acceptance of these Terms & Conditions. These Terms & Conditions apply to all services, products, bookings, and materials supplied by Property Studios unless otherwise agreed in writing.

All orders placed with Property Studios must be instructed directly by the appointed agent or company. We are unable to accept instructions submitted on behalf of third parties, including homeowners and developers. All agreements are entered into exclusively between Property Studios and the instructing agent or company.

The account under which the instruction is placed shall remain solely responsible for the instruction, including all associated costs and payments, and shall retain ownership of all purchased materials produced as part of the service.

For security and accounting purposes, all invoices must be paid directly by the instructing agent or company. We are unable to accept payment from homeowners or any other third party.

Property Studios will never distribute or share marketing materials created, on your behalf, to any third party (either homeowner, another agent, or media outlet) without your prior written permission.

Upon full payment, the instructing agent or company shall receive full ownership and copyright of all final delivered photographs, floorplan, property text, and digital brochure produced specifically for that instruction. Area/Location text, where applicable, will have usage and distribution rights, however, ownership and copyright will remain the property of Property Studios. The 360-tour hosted by a third-party company remain subject to their original licensing terms and are not transferred to the client beyond the intended marketing use.

The instructing agent or company may distribute, publish, edit, and use these materials without restriction for marketing purposes.

Exclusions

Watermarked or Unpurchased Images

Any watermarked or unpurchased images supplied for preview or selection purposes remain the sole property and copyright of Property Studios unless separately purchased.

Internal Systems, Templates & Platform Assets

All internal systems, online editing platforms, brochure templates, software infrastructure, workflows, and non-property-specific design assets remain the intellectual property of Property Studios.

Third-Party or Stock Assets

Any third-party stock imagery, music, fonts, or licensed assets used within materials remain subject to their original licensing terms and are not transferred to the client beyond the intended marketing use.

We aim to provide a photographer within 3 working days of receiving an order through our booking system.

Self-booking slots are available Monday to Friday. Any unavailable dates (such as Bank Holidays) will automatically display on our booking system as closed.  All self-booking slots operate on 1-hour arrival windows. Unfortunately, exceptions cannot be accommodated.

  • 9am – 10am
  • 10am – 11am
  • 12 noon – 1pm
  • 1pm – 2pm
  • 3pm – 4pm
  • 4pm – 5pm (Spring, Summer and Autumn only)
  • 5pm – 6pm (Limited availability and Summer only)

Package Deadlines

All Property Studios packages (Tier 1 to Tier 5) include next working day delivery.

Drafts are issued as soon as they are completed. Due to the accelerated turnaround, completed materials may be delivered outside normal working hours while still meeting the agreed deadline.

Excluded from Next Working Day Delivery

The following add-on services are excluded from the standard next day turnaround:

  • Virtual staging, dressing, decluttering or renovation
  • Image manipulation or enhancement
  • Drone photography or filming
  • Walk-through video services

Estimated turnaround times for these services are displayed within the system and are typically delivered within 2 working days from the shoot date.

Photography

If poor weather is forecast for the booked shoot date, the owner or agent may reschedule the appointment via our live booking system at no additional charge, provided the change is made more than 24 working hours before the appointment.

If a property is best photographed at a particular time of day due to sunlight or orientation, clients are welcome to select the most suitable available appointment slot.

Drone Photography & Drone Film

Where drone photography or filming has been ordered, we will always attempt to complete this alongside the main appointment where weather conditions allow.

However, due to aviation safety restrictions, wind, rain, or other unsafe flying conditions may prevent drone operation. In these cases, the internal and standard photography will still proceed as planned, and we will return to capture the drone content as soon as conditions permit.

Due to new insurance restrictions, our photographers are no longer able to move or handle furniture, valuable items, or personal belongings belonging to third parties. Lightweight non-valuable items will still be moved where needed.

If the homeowner has indicated that they may require assistance on the day of the appointment with preparation or the moving of furniture or personal belongings, we kindly request that the instructing agent or a representative from your firm attends to assist where required.

Where an agent is unable to attend and is aware that the property may not be fully prepared, we ask that clear instructions are added within the Important Notes section of the order to advise our team how you would like us to proceed upon arrival.

Where no prior instructions have been provided and the property is not ready for photography, our photographer will, in the first instance, attempt to contact the instructing agent and offer one of the following options:

  • Proceed with the shoot based on the condition of the property at the time of the appointment; or
  • Cancel the appointment, with the standard cancellation fee applying, allowing the owner or agent to reschedule once the property is ready.

Should we be unable to contact the instructing agent, Property Studios reserves the right to determine the most appropriate course of action, taking into consideration the sensitivity of the situation and the homeowner experience. Where a decision is made to proceed with the shoot, either by the instructing agent or our photographer, we may be able to offer virtual decluttering or cleaning services, charged on a per-image basis.

Property Studios cannot be held responsible where a property is not fully prepared upon arrival.

Travel & Parking

Our standard package pricing includes travel and parking within our designated service areas. Any property located outside our standard coverage area will require an additional travel quotation and approval before the order is activated within our system.

Key Collection & Drop-Off

Key collection and return are included where the collection or drop-off location is within 5 miles of the property.

Where the key location falls:

  • Between 5–15 miles from the property: a flat fee of £30 + VAT per job will apply
  • More than 15 miles from the property: your order will require an additional travel quotation and approval before the order is activated within our system.

Appointments cancelled or rescheduled within 24 working hours of the scheduled appointment time will incur a cancellation fee of £40 + VAT.

This includes:

  • Cancelled or rescheduled appointments
  • Keys not being available at the agreed collection time
  • No access to the property at the booked appointment time
  • Properties not being sufficiently prepared where a return visit is required

Photography packages are photographed in accordance with the image quantities included within each selected package:

  • Tier 1 = 10 final photographs
  • Tier 2 = 12 final photographs
  • Tier 3 = 15 final photographs
  • Tier 4 = 20 final photographs
  • Tier 5 = 25 final photographs

Additional Images

Five additional images will be captured at the photographer's discretion. These will be fully edited and may be swapped with any of the initially selected images at no additional cost. Only the final selected images, up to the quantity included within the chosen package, will be supplied unless the additional images are purchased.

Additional images may be purchased in a single bundle after the photoshoot at a fixed fee of £10 + VAT, this fee includes all 5 of the additional images.

Reshoot of Existing Material

All reshoots where we have already carried out a shoot prior are charged at the full standard package rate and will be treated as a complete order. This includes:

  • A complete new image set
  • New floorplan
  • Updated copywriting
  • New 360 virtual tour
  • New window card
  • New brochure

Exclusions from Property Studios Packages

The following services are excluded from Property Studios Tier 1 to Tier 5 packages and are available exclusively through Habitum instructions:

  • Portrait Images: All photographs are captured in landscape format only to ensure consistency across brochures, window cards, and online portals. Where portrait or lifestyle images are required, please order a package from Habitum.
  • Area Images: Area or location photography is not included within Property Studios tiered packages. Where area images are required, please order a package from Habitum.
  • Split Orders: Property Studios does not offer shoots across multiple days or seasons for the same property. Where a split order is required, please order a package from Habitum.

Drone Photography & Film

Drone photography and filming are subject to CAA regulations, airspace restrictions, and pilot safety assessment at the time of the appointment.

Some properties, particularly those located near airports, military bases, government buildings, or within restricted airspace zones, may not be eligible for drone operation. Where restrictions apply, Property Studios will be unable to provide drone services.

Walk-Through Videos

Where a walk-through video has been ordered, this will normally be scheduled alongside the main photography appointment.

Walk-through video fees include:

  • Royalty-free music
  • Your branding
  • Basic graphics

Walk-Through Video Restrictions

Property Studios does not offer agent-accompanied or presenter-led videos within standard Property Studios packages. This service remains available through Habitum instructions.

Templates

Each client will receive 5 brochure templates (Tier 1 to Tier 5), along with a window card template created by our design and IT teams and loaded into our online brochure editor.

This service is currently provided free of charge for existing clients as part of the restructure of the company. However, any future template amendments may incur additional design and IT fees and may require up to 2 weeks to complete, depending on complexity.

New clients are required to pay a one-off setup fee of £259 + VAT for their brochure and window card templates.

Window Card Printing

We offer a free online service allowing users to send window cards directly to their chosen printer. It remains the responsibility of the instructing agent or company to ensure that printer details, paper stock, sizing, and copy quantities are correctly saved within their Print Management settings.

Property Studios cannot be held responsible for printing errors resulting from incorrect or outdated information.

Usage Rights & Access

Clients will have 24/7 access to make brochure, text, and window card amendments through our online system at no additional charge, subject to fair use.

Updated files can be downloaded instantly, and revised window cards can be sent directly to your chosen printer at the click of a button.

Property Studios reserves the right to amend, suspend, or withdraw access to the online editing system where necessary for maintenance upgrades, misuse, or non-payment.

Files will remain accessible for 1 calendar year from the date of the shoot, after which they will be permanently removed from the system.

Property Studios securely stores all project files and materials for a period of 1 calendar year from the date of delivery. After this period, all files will be permanently removed from our systems.

360 virtual tours are hosted via a third-party platform and will remain active while the client maintains an active ordering account with Property Studios. No separate hosting fees are charged during this period. Should you cease using our services, tour hosting will be discontinued.

Please note: The 360-tour hosted by a third-party company remain subject to their original licensing terms and cannot be transferred to another platform or agent.

All pricing remains fixed for the agreed calendar year. Prices are reviewed annually and may be subject to modest inflationary adjustments. Any changes will be communicated in advance.

All quoted prices exclude VAT unless otherwise stated.

All work carried out within a calendar month will be invoiced during the first week of the following month, typically between the 2nd and 5th.

Standard Payment Terms

Payment is due by the 15th of the invoicing month.

Extended Payment Terms

Clients may request extended payment terms, with payment due by the final day of the invoicing month.

A 3% administration fee will apply to all invoices using the extended payment option.

Late Payments

Where no agreements have been made, all late payments will incur:

  • Statutory late payment compensation fees
  • Interest charged at the Bank of England base rate plus 8%
  • Possible suspension of ongoing work or online system access until the account is brought fully up to date

It remains the responsibility of the instructing agent or company to review and approve all final materials prior to publication, printing, or marketing distribution.

Property Studios' liability in relation to any claim arising from services supplied shall be limited to the total value of the relevant order.

Property Studios reserves the right to pause or terminate any appointment or service where the conditions are unsafe, inaccessible, or unsuitable for carrying out the agreed work.

We also reserve the right to suspend services in cases of outstanding unpaid invoices or breaches of these Terms & Conditions.

Property Studios shall not be held responsible for delays or failure to perform services due to circumstances outside of our reasonable control, including but not limited to severe weather, serious illness or accident, technical failures, transport disruption, or governmental restrictions.

Property Studios processes personal data in accordance with applicable UK data protection legislation and will only use client data for the purposes of delivering agreed services and maintaining client accounts.
